Record split shifts without counting the gap
Two sessions need two clear records, even when they belong to the same day.
Describe the sessions you actually recorded
A split day may have a morning session and an afternoon session separated by a gap. Recording them as two shifts preserves that structure. Each shift has its own dates, times, breaks and optional label, while the day total adds their net contributions.
The alternative of recording one long span can also require a deliberately entered break to explain the gap. What matters is that the chosen representation is explicit and does not both exclude the gap between shifts and deduct it again.
Check a concrete day
| Session | Duration |
|---|---|
| 08:00–12:00 | 04:00 |
| 13:00–17:15 | 04:15 |
| Day total | 08:15 |
The 12:00–13:00 gap is outside both sessions. The 495-minute total includes no part of that hour. Adding an unpaid one-hour deduction to either recorded session would undercount the day.
Use labels where they help
If the sessions belong to different projects, give them recognizable labels. Keep a short note for context that does not fit a stable label. Avoid changing spelling or adding spaces casually: a record marked “Studio” and another marked “studio ” may look like the same task to a person while making later spreadsheet review harder.
Watch the join between sessions
If a second session starts before the first one ends, review the overlap rather than accepting both full spans automatically. An accidental 11:45 start on the second row would overlap the first session by fifteen minutes. A total can still look plausible, so the boundary check matters even when the output is not unusually large.
Midnight alone does not split a shift
A continuous overnight shift remains one record with an explicit later end date. Do not split it just because the display crosses a calendar boundary. MinuteFolio assigns the whole completed shift to its start date. Create separate sessions only when that is how you intend to represent the underlying record, and check that no minutes are duplicated or omitted.
